Grant FAQ
How and when do I apply for a grant for my organization?
Applications are available through our online grant portal. For more information on each application, please visit the page for the relevant granting program. College Station/Bryan and Navasota Marketing and Program Grant applications will become available in May each year. Rural Grant applications will be available in January each year.
Which grant is my organization eligible for?
If your organization is an Arts Council affiliate located in one the six rural counties The Arts Council serves (Leon, Washington, Madison, Burleson, Robertson, or Grimes) you are eligible for the Rural Grant program.
Organizations operating and programs presented within the Navasota Extraterritorial Jurisdiction (ETJ) may be eligible for funding through the City of Navasota’s Hotel/Motel Occupancy Tax Revenues.
Affiliates that operate in Bryan, College Station, or Brazos County are eligible for funding through The Arts Council’s BCS Marketing and Program Grant. Funds are provided by the City of College Station and the City of Bryan’s Hotel/Motel Occupancy Tax Revenues.
Do I have to attend a grant training?
Returning applicants are not required to attend a grant training with Arts Council employees, but are encouraged to do so if they are making significant changes to their requests from previous years. New applicants and/or those who have not applied through our online granting portal will be required to attend a grant training after applications have been released. Arts Council staff is always more than willing to help with any questions affiliates may have throughout the application process. How much funding is available?
The amount of funding available varies from program to program. Rural Grant recipients generally receive between $500-$2,500. Marketing and Program Grant awards vary based on program and application eligibility .
How are funding decisions made?
Funding decisions are made by a grant review panels assembled by The Arts Council. These panels' recommendations are then forwarded to The Arts Council's board for review and approval. For municipal HOT funded grants, those recommendations are then forwarded to the appropriate City Council(s) for review and approval.
What reporting schedule do you require for grant recipients?
All grant recipients receiving HOT funds are required to complete quarterly reports, regardless of whether funds were received or expended during that quarter. Quarterly report forms can be found on the grant portal.
Rural Grant recipients are required to complete a final report by October 20th of each year. This report is also accessible in the grant portal.
What are the matching requirements for grants?
All grants for programs/events must have a 50% match ("dollar-for-dollar") by the organization. A portion of this match may be in-kind support, but no more than 25% of the total project budget should be in-kind support.
Municipal-funded HOT grants for marketing do not have to be matched.
What metrics do I have to track as a grant recipient?
Affiliates are required to track their grant and matching expenses, as well as attendance figures at their programs/events.
Affiliates funded with Hotel Occupancy Tax dollars from municipal funds are REQUIRED to survey their guests and collect hotel night and restaurant meal impact data. See below for a sample survey.

Municipal HOT fund grants are not eligible for local marketing. These funds must be spent to market to audiences outside a 75 mile radius from Bryan/College Station or Navasota. See the list below of zip codes within 75 miles that should be excluded from marketing with HOT funds.
